Procedures
The Jesse Parker Williams Foundation Application Guidelines
The Foundation does not provide an application form. Rather, a formal proposal to the Jesse Parker Williams Foundation is initiated by submitting a letter of request. Organizations may contact the staff to discuss the potential of submitting a letter of request; in fact, this is recommended. If a letter is submitted, the following information is required:
- The full legal name of the organization;
- A brief description of the organization and its mission and programs;
- An outline of the proposed project, including expected objectives and outcomes;
- A proposed budget for the project, including an explanation of how Foundation funds will be used, as well as a listing of other income sources for the project;
- The amount of the organization’s total budget for the current fiscal year; and
- Signatures of the principal officer of the governing board and the chief administrative officer of the organization.
Additional Requirements
The letter of request should not exceed five (5) typed pages. A copy of the Internal Revenue Service letter, attesting to the organization’s tax-exempt status and classification as “not a private foundation,” is required. A list of the organization’s governing board members also must be submitted. The IRS letter and governing board member list are not included in the page total. A complete budget for the organization will be required before any funds are awarded.
Important Dates
A complete letter of request received by January 15th will be given preliminary consideration at the February meeting; a letter received by April 15th will be given consideration at the May meeting; a letter received by July 15th will be given preliminary consideration at the August meeting; and a letter received by November 15th will be given preliminary consideration at the December meeting.
Notification of Applicants
After preliminary consideration is given, the applicant will be notified in writing that the Board of Trustees has either:
- decided to decline further consideration of the proposal; or
- directed Foundation staff to compile more detailed information for consideration at a subsequent Board meeting.
In the latter case, Foundation staff will contact the organization to request additional information and to schedule a site visit.
